Human Resources & Operations Assistant

For over 15 years, Growing Up Green has empowered children to be successful, thoughtful members of their city through a strong community, rigorous curriculum, and an engaging school culture. Growing Up Green currently serves over 1500 students across four campuses. 

The HR & Operations Assistant will join GUGCS’s Operations and Human Resources teams to support staff recruitment processes and a variety of special projects and essential functions of the schools’ operations & HR departments. These include, but are not limited to: communications, managing meeting notes & slide decks, organizing files, managing calendars/schedules, and any other projects that arise throughout the year. The HR & Operations Associate will report directly to the Director of Talent.

Essential Functions and Responsibilities:

Support the Director of Talent (50%), Managing Director of HR (25%), and Chief Operating Officer (25%) with a variety of tasks and projects.

  • Support Director of Talent with staff recruitment efforts and procedures (particularly during the busiest hiring season from March to September), including, but not limited to:
    • Reviewing resumes, setting up interviews with prospective candidates and coordinating with staff, receiving candidates for interviews, and overall logistical support
    • Communicating with candidates via phone/email, requesting and tracking necessary documents (transcripts, employment verification, references, etc.)
  • Executive administrative tasks for the HR team, such as organizing files (both digital and paper), documents, calendars, and emails.
  • Support with trackers and reports, especially around staff attendance; updating trackers to support HR systems and protocols
  • Support Operations with communications, including drafting emails & documents, creating bullet points for meetings, creating newsletters, organizing meeting notes/minutes, and preparing slide deck presentations.
  • Manage and organize logistics for community building events, travel, professional development, staff or team parties/dinners/happy hours, and special events, as needed.
  • Other duties as deemed necessary by the school or your direct supervisor(s).

Minimum Qualifications:

  • Bachelor’s Degree required
  • At least 1 to 2 years of administrative experience, preferably in an educational, operations, or HR role
  • Strong commitment to Growing Up Green Charter School's mission and core values
  • Demonstrated ability to effectively work collaboratively with others
  • Self-starter who takes initiative and enjoys finding gaps while figuring out how to fix them
  • Ability to work in a fast-paced environment that might shift in pace at times
  • Superb time management skills
  • Detail-oriented, willing to manage multiple projects simultaneously, and with an eye on the details
  • Maturity, sense of humor, and strong work ethic
  • Creative problem-solver and systems thinker 
  • A commitment to contributing to a diverse, equitable, and inclusive setting 
  • Proficient experience with Microsoft Office and Google Suite, and strong computer skills
  • Willingness to travel between 4 school building locations on a weekly basis - two in Long Island City, Queens, and two in Jamaica, Queens
  • Salary range is $50,000-55,000

Education: Bachelor's degree required

Required Certificates & Licenses: NYC DOE/Fingerprinting & Background Clearance
